Before you begin
You must take a backup of your Genie data before merging any patient records. If patient details do not match exactly before merging, you may lose the demographic details you wished to keep. This action is irreversible and should only be done when absolutely necessary.
You will need to have the 'Merge patient records' permission enabled for your user in File > Edit Groups. If you do not have access to this window, you will need to speak to your Genie administrator.
Merging patient records
- After taking a backup of your Genie data, quit Genie Server (and all connected Genie Clients) and open Genie Solo (Single User) on the server machine.
- Log in as normal in Genie Solo, then navigate to Open > Patients and search for your duplicate patients.
- If the patients do not have the exact same name, open their demographics
to edit their names and ensure they are identical.
If the patient names are different, this may cause any images / attachments to not be merged correctly. - Highlight the duplicate records by clicking once on the first patient, then holding Ctrl / Cmd and clicking on the second.
- Navigate to Records > Use Selected if there are more than the two duplicate records in the patient list.
- Go to Patients > Merge Patients and Genie will then attempt to merge the patient records.
- If the records are exactly the same, Genie will proceed without further prompt. If the account holder records are the same, the record name will be chosen arbitrarily. The record that is not chosen will then be removed from Genie.
- If the date of birth or name does not match exactly, you will be given a prompt alerting you to this and asking whether you wish to update anyway.
- If the account holders are different, you will be presented with a window asking you to choose the account holder for the record.
You should take note of the correct patient details before merging to confirm that the right details have populated in the merged record. If these are not accurate and you did not take note beforehand, you will need to restore a backup for reference, or contact the patient directly.
As Genie can only merge two patient records at once, please repeat the above steps for any other patient records that you need to merge.
